Xerox Easy Assist
As a UI/UX designer, I have been working on the Xerox Easy Assist App since 2022. It’s a user-friendly printer setup and management app that connects to Xerox and Lexmark devices. The mobile app is available to download on the App Store and the Google Play Store. I’ve collaborated on designing features such as:

Scan Enhancement Overview

What’s New Sheet Light Mode
The process for this feature enhancement was different than usual. Since the basic Scan feature was already established, the development team built the enhanced post-scan functionality and shared the demo recordings. From there, the design team discussed requirements, additional functionality opportunities, and started designing concepts. For our concepts, we had to consider existing app patterns, the Xerox Interface Design System, native iOS and Android components, and accessibility. We created multiple iterations based on feedback from the project team and the developers. Once we had approval, we designed the official screens and workflows.

Each feature in the app has a dedicated folder in the visual behavior specification (VBS) that contains

The folder structures are synched between the iOS and Android specs so the equivalent app screens can be easily identified for the designers and developers.
Folder Structure
There is a details page for every screen in the app, each with a unique page ID. The details pages include:

Callouts with detailed requirements on behaviors and accessibility

Scan Card Workflow

iOS Scan Card Workflow
This workflow is an overview of the entire Scan feature from start to finish. It begins with tapping the Scan Card on the Dashboard, and ends with sharing the completed document.
Due to the large scope of this feature, the Scan Card Workflow branches out to multiple sub-workflows. It includes various entry and exit points, decision diamonds, and error states.

With Xerox Easy Assist, the user can adjust the Output and Original Document settings from their phone/mobile device before scanning. These settings include:

The iOS version of the app utilizes bottom sheet selections, while the Android version utilizes radio button dialogs due to platform patterns and native components.
Edit Workflow
Scan > Preview > Menu > Edit Page

When the user enters the Edit Mode, they can alter the scanned document with the following tools:
Brightness
Contrast
Crop
Rotate
Straighten
The adjustments can be made via buttons, sliders, and crop handles, depending on the selected tool. Examples are depicted in the workflow and specific interactions are documented on the details pages.
Add Date Workflow
Scan > Preview > Menu > Add Date

Select Date: The date picker pre-fills with the current date.
Date Format: The format options are the same as in Device Settings.
Color: The native color picker allows the user to use a custom color.
After adding the date, it’s overlayed onto the bottom right of the page/file. The user can adjust the size by pinching and zooming, and drag it around to place it.
Add Signature Workflow
Scan > Preview > Menu > Add Signature

The user can add new signatures by drawing on the dotted line in the signature area and saving them to the signature library.
After adding the signature, it’s overlayed onto the bottom right of the page/file. The user can adjust the size by pinching and zooming, and drag it around to place it.
Add Watermark Workflow
Scan > Preview > Menu > Add Watermark

The user can add text or image watermarks to the library.
Text: Type the watermark text into the input, then select the font, style, and color.
Image: Select a JPG or PNG from the phone’s native file system. The white background is removed from supported image files automatically.
After adding the watermark, it’s overlayed onto the center of the page/file. The user can adjust the size, placement, and opacity of the watermark.
Collect Icons
Download the applicable SVGs from the Xerox Interface Design System icon library that will be added in the new release.
Create & Export Graphics
Import the icons to Sketch. Adjust the size and colors per platform, then export the finalized graphics.
For this release, up to four different variations of one icon were created to accommodate the iOS and Android version of the app in both light and dark mode.
Add Graphics to Image Library
Add the finalized graphics to the 1.7 Scan Image Library in the VBS.
iOS graphics are delivered in @1x, @2x, and @3x PNGs to fit various iPhone screen resolutions. Android graphics are delivered as SVGs.
The development team downloads the graphics from the image library.
Version History
The Version History is a key part of the documentation process. It’s necessary for the app’s transition from the design team to the development team.
A version of the spec is published when specific UI/UX work is ready for development or review.
Content is grouped by customer release and features. Within a customer release, new or modified content will be grouped by the area as defined by the product owner. Impacted workflows, details screens, and image libraries are linked.
